Intelligent Refresh

Overview

Intelligent Refresh is Zus’s event-driven refresh engine. Instead of relying on fixed bulk refresh schedules, it proactively queries our connected networks when there’s a high likelihood that new patient data is available. This keeps the Zus Aggregated Profile (ZAP) current while reducing redundant requests to network partners.

How It Works

Intelligent Refresh listens for “signals” that a patient’s clinical data may have changed and then runs targeted refreshes based on those triggers. Targeting rules limit the look-back period and focus queries on the most relevant organizations to improve efficiency and avoid duplicate documents.

Triggers & Timelines

Get Up to Speed

Upon initial enrollment, patients will receive an initial history refresh in order to populate the ZAP.

Transitions of Care

Zus will refresh ZAP data upon receipt of an ADT message and follow up regularly throughout a patient's stay. Upon discharge, we will check for a discharge summary within 24 hours and then again within a week.

Your Appointments

For appointments that are written to Zus more than 5 days before their start date, we guarantee that refreshed data is delivered at least 72 hours prior to the appointment to give ample time for chart review.

For appointments added to Zus less than 5 days before they begin, we will initiate a data refresh within 1 hour of receiving the appointment. Surescripts medication history may take up to 48 hours to populate.

Medication Adherence

We refresh pharmacy dispense data after the expected refill date for medications associated with CMS eCQM or HEDIS quality measures.

Ongoing Monitoring

  • Outside appointments: When we detect an appointment with another care organization via third-party data networks, we'll automatically schedule a follow-up refresh to capture visit documentation.
  • New prescriptions: ZAP data will be refreshed any time the patient starts a new medication.
  • Lab alerts: ZAP data will be refreshed when Zus is notified of new external lab activity for a patient that might indicate a new encounter

Implementation Tips

  • Write Appointments to Zus: This enables automatic pre-visit refreshes.
  • Enroll in a subscription package: Patients must be in an active subscription for Intelligent Refresh to run continuously.
